Household Recycling Centre (HRC) Booking System Privacy Notice
Introduction
We value your privacy and are committed to protecting your personal data. This privacy notice explains how we collect, use, and share your personal information when you book a time slot to visit an HRC through our web form.
What Information We Collect
When you book an appointment, we collect the following personal information:
- Name
- Address
- Vehicle registration number, if applicable
- Email address
How We Use Your Information
We use your personal information to:
- Schedule and manage your appointment
- Validate Commercial Vehicle or Trailer (CVT) Permit details, if applicable.
- Share your vehicle registration number, if applicable, and address with our contractor for the purposes of confirming bookings, and to check proof of residency (if requested by site staff).
Legal Basis for Processing
Powys County Council has a statutory obligation to provide HRCs for residents in its area only, under Section 51 of the Environmental Protection Act 1990, and for our Lower Cwmtwrch site, residents of the Neath Port Talbot Council area under agreement. Capturing and sharing vehicle registrations, where applicable, enables the site operators to verify booking information on site without the need to provide names, and to verify Commercial Vehicle or Trailer Permit details, where applicable. Capturing and sharing address details enables the site operators to verify proof of residency, by checking booking details against proof of address documents, if requested.
Data Sharing
We share your vehicle registration number, if applicable, and address with our contractors to facilitate your appointment and proof of residency checking, if requested. We do not share your personal information with any other third parties.
Data Retention
Typically, any personal information (name, vehicle registration, email address, phone number, as applicable) related to a booking request will be deleted after 12-months from date of booking.
However, this may be extended in certain circumstances, such as if the details are required in relation to investigations of suspected fraudulent use of the sites, health and safety incidents, criminal investigations, or other legitimate needs.
In any case, we will retain your personal information only for as long as necessary to manage your appointment and comply with legal obligations.
